Prepare to meet thousands of ophthalmologists and health care professionals as they gather for the fourth Joint Meeting of the American Academy of Ophthalmology and the Pan-American Association of Ophthalmology (PAAO), Oct. 24 to 27 in San Francisco.

NOTE: The Academy upgraded its internal systems in April. As a result, you may be asked to change your login information for the Academy Web site. Make note of your new username and password. You will use it each time you access any secure pages. Academy staff will not have access to this information.

Exhibiting in 2009
During the 2009 Joint Meeting Exhibition, more than 500 companies will showcase the latest developments in ophthalmic technology.

Consult About Exhibiting for information on participating in the exhibition, including the Exhibit Prospectus, Exhibit Space Application package, Informational Poster Presenter Application and meeting attendance statistics.

Exhibitor Housing
The Exhibitor Housing Brochure and online housing application are available on the Exhibitor Central Secure page. You will need your Academy username and password to access this page. If you do not have this information, e-mail exhibitions@aao.org.

To manage your room block online, log in to the Room Block Management system with your Expovision username and password. If you do not have this login information, contact Expovision. Complete rooming lists should be submitted to Expovision by Sept. 9.

Exhibitor Service Manual
The 2009 Exhibitor Service Manual is now available for all confirmed 2009 Joint Meeting exhibitors.

Log in now to get information about booth activities, booth design, material handling, ordering services for your booth and other important information for planning your participation in the exhibition.  The online Exhibitor Service Manual is supported by Freeman. If you do not have a login for Freeman, you will need to create one.

Online Forms
Completed forms must be submitted online by Aug. 7.

The Virtual Exhibition (PDF 135K) is the key tool attendees will use to find companies and products before the meeting. The Academy provides exhibitors with a FREE Standard Digital Booth Package that includes a business card, eight product categories, two booth contacts and a 25-word company profile.

To build your free Digital Booth:

  • Click the link below, then “Digital Booth Editor Login” on the left navigation.
  • Locate your company name, then enter your password, which is your six-digit Academy ID number. If you do not have this number, e-mail exhibitions@aao.org.
  • Change the password; this will activate the modules.
  • Follow the easy instructions to build your digital booth.

Letter of Invitation for International Exhibitors
A downloadable Letter of Invitation is now available to assist with your visa application.  Have your passport number, booth size and booth cost available when you complete this request.

For the most official copy of the Letter of Invitation without the URL and page number, follow these steps to change the margins and other settings before printing:

  1. Click on "File" then select "Page Set Up."
  2. Remove the codes in the header and footer.
  3. Set your top, bottom, left and right margins to 0.75.
  4. Click the "OK" button.
  5. Print.

Subspecialty Day
The retina and refractive surgery Subspecialty Day meetings are on Friday and Saturday, Oct. 23 and 24. The glaucoma, neuro-ophthalmology and pediatric ophthalmology meetings are on Saturday only. Because of space constraints at the Moscone Center, the Academy will not have Subspecialty Day table-top exhibits this year.

Hotel Function Space
The Academy is holding hotel function space from Friday, Oct. 23, through Tuesday, Oct. 27, for alumni, exhibitor and related group events. Apply by Aug. 20 to avoid late fees.
